Encore Pilates & Wellness is a Pilates studio and clinic at 8/69 Progress Drive, Nightcliff NT 0810. It is run by Darwin Movement Centre Pty Ltd.
This policy explains what personal information we collect, why we collect it, who we share it with and how we look after it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).
What we collect
- Contact details: your name, email, phone number and suburb.
- Booking and payment details: the classes and sessions you book, your membership and your payment history. Card payments are handled by our payment providers (Mindbody and Stripe). We never see or store your full card number.
- Health information: injuries, pain, medical conditions, pregnancy and anything else you tell us on your intake form or in a session, so we can teach you safely.
- Your answers to our forms: for example, when you’d like to start, what you’d like help with and whether you live near the studio.
- Website and social media information: information collected by cookies, the Meta Pixel and Google Analytics when you visit our website, and by Facebook and Instagram when you interact with our pages or ads (see below).
We only collect health information with your consent, and only what we need to look after you.
How we collect it
Mostly from you, when you:
- fill in a form on Facebook, Instagram or our website, including Facebook and Instagram lead forms
- message us, chat with us on our website, call us or come into the studio
- book or pay through our booking system or online checkout
- complete an intake or health form
Sometimes we receive information from your physio, doctor or chiropractor when they refer you to us, with your permission.
Facebook and Instagram ads and lead forms
We advertise on Facebook and Instagram, which are run by Meta Platforms.
- Lead forms: when you fill in one of our forms on Facebook or Instagram, Meta passes the details you enter (such as your name, email and phone number, and your answers) to us. We use them only to contact you about the offer or enquiry you signed up for, and as described in this policy.
- Meta Pixel: our website uses the Meta Pixel. It records actions on our site, such as viewing a page or making a booking, so we can measure how well our ads work and show our ads to people who have visited our site.
- Custom audiences: we may share contact details we hold with Meta, in a scrambled (hashed) form, so Meta can match them to accounts. This lets us show relevant ads to existing clients, or stop showing offers to people who have already taken them up. Meta does not use this to tell us who you are.
You can control the ads you see in your Facebook ad preferences, and read how Meta handles your information in the Meta Privacy Policy.
Cookies and analytics
Our website uses cookies: small files saved by your browser. We use them to make the site work, to remember your preferences, and for:
- Google Analytics: to understand how people use our website, such as which pages they visit. You can opt out with the Google Analytics opt-out browser add-on.
- Meta Pixel: to measure and improve our ads, as described above.
- Website chat: to run the chat window on our website.
You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you do.
Why we use your information
- To contact you about the offer or enquiry you signed up for
- To book your classes, sessions, concierge call and studio tour
- To teach you safely and plan sessions around your body and goals
- To manage your membership and payments
- To send you updates and offers, if you’ve agreed to hear from us
- To improve our classes, website and advertising
We don’t sell your information to anyone.
Who we share it with
Only our team, and the services we use to run the studio:
- Mindbody: bookings, memberships and payments
- Stripe: online payments
- Parachute: emails and text messages
- ManyChat: Instagram and Facebook messages
- Meta (Facebook and Instagram): lead forms and advertising
- Google: website analytics
- Crisp: the chat window on our website
- Our website host: to run this website
Some of these services store information overseas, including in the United States. We choose providers with strong security and only share what they need to do their job.
We share health information with your physio, doctor or other health provider only when you ask us to, or when the law requires it. We never share health information with Meta or other advertisers.
Marketing and opting out
If you sign up for an offer, we’ll contact you by phone, text or email about it. We may also send you studio news and offers from time to time.
You can opt out whenever you like. Use the unsubscribe link in any email, reply STOP to any text, or tell us at the studio. We’ll still contact you about bookings you’ve made.
Keeping it safe
Your information is stored in password-protected systems that only our team can access. Paper forms are kept in a locked cabinet at the studio.
We keep health records for as long as the law requires. Other information we keep while you’re a client and for a reasonable time after, then delete or de-identify it.
If there’s ever a data breach likely to cause you serious harm, we’ll let you and the Office of the Australian Information Commissioner know.
Your rights and how to contact us
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it, including information collected through our Facebook and Instagram forms. Just get in touch and we’ll respond within 30 days.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. If you’re still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
